Ownership and Responsibility Statement:
The Town of Neepawa owns the Neepawa Public Library Building. The Western Manitoba Regional Library System rents the Main Library from the Town of Neepawa to be used as the Neepawa Public Library. The Neepawa Public Library administers the Meeting Room use.

Use Statement:

The Meeting Room was designed for the community to have a public place to use. The Neepawa Library Board and Neepawa Library staff support the importance of having such a facility.

Policy Statements:
  1. Bookings:
    Priority of use will be given to Neepawa Public Library, Western Manitoba Regional Library System, and the Town of Neepawa activities. The remaining use will be on a first come first serve basis. Bookings for the room will be done at the library and will only be confirmed one month in advance. Tentative bookings will be take with confirmation made at the beginning of each month. All bookings will be recorded to include: group name, contact person, telephone number, and person who will be responsible for the key.

    Reservations for a series of meetings which would designate the Library as the regular meeting place of an organization must be approved by the Neepawa Library Board. It is understood that all equipment and supplies pertaining to that organization must be removed after each meeting.

  2. Fee Schedule
    During regular hours:    
    Non-profit organizations:   Donations
    For profit organizations/companies   $12.50 per hour or $75.00 per day.

    During non-regular hours:    
    Non-profit organizations:   Donations
    For profit organizations/companies   $15.00 per hour or $90.00 per day.

    NOTE: A list of Non-Profit Organizations will be compiled to assist the fee schedule. Each organization is asked to submit in writing to the Neepawa Public Library Board a letter indicating why the group is non-profit and why the group should be considered under the non-profit fee schedule.
  3. The Neepawa Public Library will receive the fees. The fees will be used for upgrades and collection development at the local level. Cheques should be made out to Neepawa Public Library.

  4. Key Dispensation:
    The key will be given out to the person indicated when the booking is made. The person must have a library card. Information about receiving and returning the key will be kept on the person's library record. No fee will be charged to receive the key. The group will be charged $20.00 for a lost key and replacement costs.

  5. Responsibilities of the User Group:
    Each group will be responsible for the set-up and clean-up of the meeting area before and after each use.
    The group will be billed for any replacement costs or extra maintenance costs incurred because of accidents or misuse of the facility.

  6. Furniture Rentals Outside the Building
    Chairs and tables will be rented. The fee will be determined mutually by the group contact person and the Library Branch supervisor.

  7. The Library will not be responsible for any items left in the meeting room.

  8. This policy will take effect May 1, 1999 and will be reviewed annually.
